What we collect

To generate your SARS Shield or VAT Clean Slate report, we ask you for:

Why we collect it

We use this information solely to generate and deliver your compliance report, and to contact you about your order. We do not sell your information, and we do not use it for purposes beyond delivering the service you paid for without your separate consent (for example, opting in to our newsletter is a separate, unticked choice).

How your report is produced

Your answers are used to generate a first draft using AI (currently Anthropic's Claude models), which is then personally reviewed and approved by Eugene van Dyk CA(SA) before it is sent to you. No report reaches you without that human review step.

Cross-border transfer

Because Anthropic is based in the United States, part of your information is processed outside South Africa in order to draft your report. Anthropic's standard commercial API terms provide that data submitted through their API is not used to train their general-purpose models. This processing is protected under our agreement with Anthropic and under section 72 of POPIA, which governs transfers of personal information outside South Africa. We only send the minimum information needed to generate your report.

Other service providers (operators)

The following providers help us run Pocket CFO and process data on our behalf, under agreements requiring them to protect it:

How long we keep your information

We retain your report and the information behind it for as long as reasonably needed to support you (for example, if you have a query about a past report), and in any event no longer than SARS' own record-keeping norms suggest is useful, after which it is deleted unless you ask us to keep it or the law requires otherwise.

Your rights

Under POPIA you can ask us to confirm what information we hold about you, correct it, delete it, or object to how we use it. You can also lodge a complaint with the Information Regulator (South Africa) if you believe we've mishandled your information. Contact us at the details above for any of these requests.

Security

We use encrypted connections, access controls on our systems, and reputable service providers listed above to protect your information. No system is completely secure, but we take reasonable, industry-standard steps.

Not for children

Pocket CFO is a business tool intended for taxpayers and business owners; it is not directed at, and should not be used by, anyone under 18.

Changes to this policy

We may update this policy from time to time; the version on this page is the current one.

Terms of Service

What you're buying

Pocket CFO sells a once-off, AI-assisted, human-reviewed SARS compliance report (SARS Shield) or VAT reconciliation report (VAT Clean Slate). It is a summary and readiness tool — it is general information, not formal tax advice, and not financial advice as defined under FAIS. It does not replace the judgement of a registered tax practitioner, and for material decisions (VDP applications, disputes, penalty remission requests) you should engage one directly.

Accuracy of your information

Your report is only as accurate as the information you give us. You're responsible for the accuracy of what you submit, and we're not liable for consequences of incorrect or incomplete information you provided.

Pricing

Current pricing is shown on the site at the time of purchase and may change.

Payment and delivery

Payment is processed via PayFast in full before we begin generating your report. Reports are delivered within 48 hours of receiving your payment and completed questionnaire, following human review.

Intellectual property

Your report is for your own internal use. You may not resell, redistribute, or represent it as independent professional advice issued directly by a third party.

Liability

Pocket CFO reports are a decision-support summary, not a guarantee of any SARS outcome. To the fullest extent permitted by law, our liability is limited to the amount you paid for the report. Nothing in these terms limits liability that cannot be excluded under South African law.

Governing law

These terms are governed by the laws of the Republic of South Africa, and any dispute will be subject to the jurisdiction of the South African courts.

Changes to these terms

We may update these terms from time to time; the version on this page at the time of your purchase applies to that order.

Refund Policy

Because each report is personalised and generation begins as soon as you submit your information, refunds are available in these cases:

Once your report has been delivered, refunds are not available given the personalised, digital, made-to-your-specification nature of the service.

To request a refund, email hello@pocketcfo.co.za with your order details — we'll respond within 2 business days.
